TRAINING CHALLENGE (Post new HCM system implementation):

  • Create training programs to ensure that all employees can take advantage of new self-service features now available to them.
  • Ensure that managers are trained to follow proper procedures for specific to their jobs, regardless of what department they work for (Benefits, Payroll, Finance, Recruiting, Projects, Etc.).

TRAINING APPROACH:

  1. Identified those processes that created the most confusion and visualized ideal outcomes for Benefits, Payroll, Recruitment, Finance and Projects Departments.
  2. Created step-by-step tutorials and videos for managers and employees. Every possible difficult to remember process (Process for Mass Hire of Employees into WD) or process with multiple decision trees accounted captured in training materials (Training Materials Overview).
  3. Before releasing tutorials, created “teaser” videos and materials showing how new processes were easier to manage than old.
  4. Organized 2-week support hotline staffed 24/7 by HR and other staff to quickly resolve issues/troubleshoot problems.
  5. Permanent links on corporate intranet allows easy access to training binders & training video with click by click tutorials for distribution to hiring managers
  6. Supported hospital-wide training of recruitment staff and hiring managers in the use of Workday for creating requisitions, managing candidate flow, making hires and transfer, promotion and termination of staff.

TRAINING RESULTS:

Minimal issues with change to new HCM system as employees and managers had already “bought into” the benefits of new system. Multiple click-by-click tutorials, quick overviews and training videos made it easy for staff to find information needed and “cookbook” difficult or easily forgotten processes.
